What Does an Archivist Do?
An archivist preserves and provides access to records that have lasting value. The work involves deciding which materials deserve permanent care, organizing them so people can find them, and protecting them from damage. Archivists also help researchers understand the meaning and limits of the records they use.
What does an archivist do each day?
An archivist manages collections of historical or enduring records. These collections can include personal papers, business files, government documents, photographs, maps, audio recordings, films, websites, and born-digital files. The materials may belong to a museum, university, public agency, company, religious institution, historical society, or private organization.
The daily work depends on the collection and the employer. An archivist may spend one day assessing a newly donated group of papers. The next day may involve describing photographs or helping a researcher locate a letter. Other work may focus on checking storage conditions or improving access to digital records.
The central purpose remains consistent. Archivists make sure important records survive and remain understandable. Preserving an item without recording its context can make the item much less useful. An archivist therefore cares about both the physical or digital object and the information that explains where it came from.
How archivists decide what to preserve
Archivists cannot keep every record created by an organization or individual. Storage space requires limits, and some records have little long-term value. An archivist evaluates material according to its historical importance, evidence of activities, connection to a person or community, and likely research value.
This evaluation is called appraisal. It does not mean judging whether a record is personally interesting. A routine document can be valuable if it shows how an institution operated over time. A visually attractive item may have limited value if its origin is unknown or if it repeats information found elsewhere.
Appraisal also considers the collection as a whole. A single letter may not explain much on its own. A larger group of related letters can reveal relationships, decisions, or changes in opinion. Archivists try to preserve meaningful connections instead of treating every item as an isolated object.
Acquisition is the process of bringing records into an archive. This can happen through a donation, transfer, purchase, or organizational policy. Before accepting material, an archivist examines its condition and ownership. The archive also needs to know whether it can legally preserve the records and provide access to them.
How archivists organize collections
Archivists organize records so users can understand their origin and locate relevant material. They do not always arrange items by subject in the same way a library shelves books. Records are often kept according to the person or organization that created them. This approach preserves the relationships among documents.
For example, the papers of a community leader may contain correspondence, meeting notes, speeches, and photographs. An archivist may organize these materials into groups based on their function or origin. Good description helps a researcher decide whether a collection is worth examining. It also prevents unnecessary handling of materials that are unrelated to the research question. The description must be accurate without claiming more than the records can support.
How archivists preserve physical records
Preservation begins with a stable storage environment. Paper, photographs, film, textiles, and other materials can deteriorate when exposed to unsuitable temperature, moisture, light, dust, or pests. Archivists monitor these conditions and use storage methods that reduce the rate of damage.
Housing materials correctly is another part of the job. Acid-free folders and boxes can protect paper records from harmful contact with poor-quality materials. Photographs may require separate enclosures because their surfaces can react differently to humidity or handling. Oversized maps need support that prevents bending or tearing.
Archivists also handle records carefully. They may remove damaging fasteners or replace containers that have become brittle. They do not automatically repair every damaged item. A repair can change an original object or cause more harm if it is done without the right knowledge.
Conservation work is sometimes performed by a specialist. The archivist identifies the problem and determines how it affects access or long-term survival. If an item is especially fragile, the archive may provide a digital copy or require supervised use of the original.
How archivists manage digital records
Digital preservation involves more than saving a file to a computer. Files can become unreadable when storage devices fail or software changes. Archivists maintain reliable copies and record information about file formats, creation dates, ownership, and any preservation actions.
A digital archive needs a controlled system for storing and checking files. Archivists may verify that a file has not changed unexpectedly. They may also move files into formats that are more suitable for long-term preservation. These decisions require care because conversion can remove features or alter the original experience.
Digital records can also contain hidden information about their creation. File metadata may show when a document was made or which software produced it. An archivist decides which information should be retained because it can help establish authenticity and context.
Web archives present a different problem. A website can change every day or disappear without warning. Capturing it preserves a record of how information appeared at a particular time. The archivist must describe what was captured and explain that the archived version may not behave like the original site.
How archivists help researchers
Archivists often work directly with people who need to use a collection. A researcher may arrive with a broad question and little knowledge of the archive. The archivist listens to the question and suggests collections or search terms that could lead to useful records.
This assistance requires knowledge of the holdings. A catalog search may not reveal every relevant item because archival descriptions can be broad. A collection may be described at the box level instead of listing every document. The archivist can explain how the records are arranged and where a researcher should begin.
Archivists also explain access rules. Some records may have restrictions because of privacy concerns, donor agreements, copyright, or organizational policy. A restriction does not always mean that no one can use the material. It may limit the date of access or require permission from a specific person or office.
Reading room procedures protect both the records and the people using them. Researchers may need to handle materials with clean hands and keep food away from the workspace. They may also be asked to keep items in their original order. That order can provide evidence about how the records were created.
When researchers cannot visit in person, archivists may provide scans or other reproductions. The archive must balance service with preservation. Repeated scanning can expose materials to handling, and some items cannot be copied safely. The archivist explains what can be supplied and what limitations apply.
How archivists protect context and authenticity
Records do not speak for themselves. Their meaning depends on who created them and why. An archivist documents provenance, which is the history of a record's ownership and creation. This information helps users judge how much weight to give the record.
Archivists also preserve original order when that order remains meaningful. For instance, a set of project files may show how an organization made decisions. Separating every document by subject could make individual items easier to browse while hiding the process that connected them.
Authenticity matters because users need confidence that a record is what it claims to be. Archivists document changes made during processing and preserve information about the original format. They do not make a record more useful by quietly altering its content.
Context also affects interpretation. A photograph without a date or location can be difficult to identify. A related caption or letter may provide the missing information. Archivists record these connections when the evidence is reliable and mark uncertainty when identification is not confirmed.
Where archivists work
Many archivists work in universities and libraries. Their collections may support teaching and research or document the history of the institution. University archivists can also manage records created by departments and administrators.
Museums and historical societies employ archivists to care for collections connected to communities, artists, families, or public events. Government archives preserve records that document public administration. Corporate archivists manage material that reflects a company's history and supports internal knowledge.
Some archivists work for religious organizations, hospitals, law firms, media companies, or professional associations. Others provide consulting services for organizations that need help with records management or preservation planning. The setting changes the collection, but the need for reliable organization remains.
What education and skills does an archivist need?
Archivists often study history, library science, information science, public history, museum studies, or a related field. Many professional positions expect graduate-level training in library or archival studies. The exact requirement depends on the employer and the level of responsibility.
Technical knowledge has become an important part of the work. Archivists need to understand databases, digital storage, metadata, scanning, and file formats. They do not need to be software engineers. They do need enough technical judgment to recognize preservation risks and work with specialists.
Careful analysis is equally important. An archivist must interpret incomplete evidence and make decisions that affect what future users can discover. Clear writing matters because collection descriptions guide people who may never meet the archivist.
The work also requires patience and physical care. Processing a large collection can take significant time because each decision affects arrangement and description. Moving boxes or examining fragile items may require safe handling practices. Public service adds another dimension because archivists must explain rules without making access unnecessarily difficult.
How an archivist differs from related roles
An archivist and a librarian both help people find information, but their materials are organized in different ways. Librarians usually manage published works that can be described individually and arranged for repeated use. Archivists manage original records that often have value because of their relationships and context.
An archivist also differs from a records manager. A records manager helps an organization control current records during daily operations. The goal may include making sure records are retained for the correct period and disposed of when they no longer serve a purpose. An archivist focuses on records selected for long-term preservation.
A conservator concentrates on the physical treatment of objects. An archivist decides how records should be acquired, arranged, described, and accessed. These professionals may work together when a collection needs specialized repair.
Why the work matters
Archives give people evidence about decisions, experiences, and institutions. They support historical research, legal inquiry, family history, journalism, education, and cultural memory. Their value grows when users can discover the records and understand how those records came into existence.
The archivist's work is therefore both protective and interpretive. Preservation keeps records available for the future. Description gives users a way to find them. Context helps users read them with appropriate care.
